A scheduling service costs $14 a month or $120 up front for a year. Its annual plan works out to $10 per calendar month if you keep it all year. If you only need the service for a short project, the lower advertised monthly equivalent can lead to a higher total bill. In a 2022 study of mobile app stores, the U.K. Competition and Markets Authority documented how annual subscriptions could be displayed as monthly prices even though customers would be charged for the full year.
Compare the same period of use
Divide the $120 annual charge by the $14 monthly price. The result is about 8.6 months. If charges come in whole monthly increments and you can stop the monthly plan without a fee, nine months would cost $126. That is the first point in this example where monthly charges exceed the annual price. At six months the monthly plan costs $84, which is $36 less than the full annual charge.
This calculation assumes both plans cover the same features, taxes and number of users and that the annual payment is kept in full if you leave. If one plan includes an extra seat or a refund, add that term to the comparison. If the monthly plan requires a minimum number of months, use the amount you would actually owe when the project ends.
Put the renewal price on the same page
Suppose the $120 annual offer renews at $156 while the monthly option stays at $14. At renewal, 11 months on the monthly plan would cost $154, and 12 would cost $168. The annual option now becomes cheaper only at 12 paid months under those assumptions. A promotional price can make the first year’s calculation a poor guide to the second.
The U.S. Federal Trade Commission’s consumer guide advises checking renewal costs and cancellation instructions. If the plan renews automatically, write down the date and when any cancellation notice is due. Check what happens to stored files or future access if you leave, particularly if your work depends on retrieving the data.
Put the likely uses in a calendar
For a small team, list when the work will start, whether it pauses and how long the files need to remain accessible. A six-month pilot and a service used every week all year are different purchases. Run the calculation for a shorter project as well as the full year. The difference tells you what you are paying for flexibility or saving by committing up front.
- Write down the total charge for the months you expect to use.
- Check the plan’s notice period, refunds and minimum term.
- Recalculate at the renewal price before the next commitment.
